Privacy policy
Effective
Best Direct Mail prints and mails postcards, letters and notices for businesses, homeowners associations and property managers. This policy explains what information we collect on this website, how we use it and who we share it with. We do not sell your personal information.
Information you give us
- Quote and contact requests: your name, business or association name, email, phone number, the mailing date you need and the project details you type in.
- Mailing list orders: your name, the email the list should be sent to, the area and filters you choose and the number of addresses.
- Payments: card payments are made on Authorize.net's secure payment page. Your card number goes to Authorize.net, not to us, and we never see or store it. We receive a confirmation with the amount, the order and the name and email on the payment.
- HOA owner lists: when an association or manager sends us an owner list, by upload or by connecting Buildium, we receive owner names and mailing addresses. A Buildium connection key is used only to read that list and is never stored.
- Mailing lists and files for a job: customer lists, artwork and other files you send us to produce a mailing.
Information collected automatically
- Technical data: like most websites, our hosting provider records your IP address, browser type and the pages you request. We use the IP address briefly to block spam and repeated form submissions.
- Searches in our planners: addresses, cities and ZIP codes you type into the EDDM® and mailing list planners are sent to mapping and address lookup services to find the location. The maps load images from OpenStreetMap.
- Cookies: we do not use advertising or analytics cookies, and we do not track you across other websites.
How we use your information
- To answer your request, prepare quotes and proofs, and produce and mail your job
- To process orders and payments and send receipts and the lists you buy
- To prepare mail for USPS, including checking and updating addresses against USPS data
- To keep the website working and secure, and to stop spam and fraud
- To keep business, tax and accounting records
We use owner lists and customer lists you send us only to produce your mailing. We do not mail anything else to the people on them, and we do not share or sell them.
Who we share it with
We share information only with companies that help us run this website and produce your mail, and only what they need to do that work:
- Authorize.net, to process card payments
- LeadsPlease, which supplies the mailing lists sold on this site (we send the area and filters you choose)
- Our website host and email delivery service, to run the site and send emails
- Address lookup and mapping services, for the searches in our planners
- The U.S. Postal Service, to verify addresses and deliver your mail
We may also share information when the law requires it, to protect our rights or the safety of others, or as part of a sale or transfer of our business. We do not share your personal information with other companies for their own marketing.
How long we keep it
We keep information as long as we need it to complete your job, answer questions about it and meet our tax and accounting obligations. After that we delete it or keep only what the law requires.
How we protect it
The website uses an encrypted connection (HTTPS), payments are handled by Authorize.net, and access to customer files is limited to the people who work on your job. No method of storage or transmission is completely secure, but we work to protect your information.
Your choices
You can ask us what information we have about you, ask us to correct it, or ask us to delete it, unless we need to keep it for a job in progress or for our records. Email us at info@bestdirectmail.com and we will reply within a reasonable time.
Do Not Track
Some browsers send a "Do Not Track" signal. Because we do not track visitors across other websites, we do not change how this site works when we receive one.
California residents
California law lets residents ask whether a business shared their personal information with other companies for those companies' direct marketing. We do not share personal information that way. You can still email us with any privacy question.
Children
This website is for businesses and associations. It is not meant for children under 13, and we do not knowingly collect information from them.
Changes to this policy
If we change this policy, we will post the new version here and update the effective date at the top.
